Open Position: SMHC Communications Director

The Communications Director oversees all Club communications, including the newsletter, the website, social media, and any other publicity activities, and is responsible for implementing communications policies approved by the Board of Directors.

This role requires being a director on the Board of Directors for the Smoky Mountains Hiking Club.  Board meetings are typically once a month and typically on the first Monday of the month and held in Knoxville, TN.  Responsibilities of a director will be sent to any interested party for this position as Communications Director.

General Information Requests

Goal:

Respond to questions emailed to the information link on SMHC webpage.

When?

Daily

Milestones for Goal:

Check email for questions sent to the link for information/ inquiries on the SMHC web site. Either answer the question or forward it to the correct person. Other announcements and promotions are studied to determine if they merit inclusion in the newsletter or on Facebook. If there is any doubt, the BOD is consulted.

Facebook

Goal:

Post Hike reports, hike write-ups and NPS News releases to SMHC Facebook page, if necessary.

When?

Daily

Milestones for Goal:

If the Facebook manager is out of town, news releases, Event reports and upcoming Event write-ups are posted on Facebook.


Goal:

Monitor SMHC Facebook page

When?

Daily

Milestones for Goal:

Comments and questions to the SMHC Facebook page are answered. The Facebook page is also monitored for inappropriate comments and unauthorized solicitation.

Monthly Newsletter Event Write-Ups

Goal:

Send reminders to Event leaders for write-ups (note: Events can be hikes, AT work trips, or special events or activities)

When?

Monthly

Milestones for Goal:

Note: Event leaders are to submit their newsletter write-ups no later than the 6th of the month prior to the Event. (For example: Events to occur in April are submitted by March 6. The April Newsletter is completed no later than March 20.) The Monthly Coordinator is cc’ed on all emails and helps in obtaining write-ups when needed.

[1] Five weeks prior to the Event month, a calendar of Events is composed and sent to the Event leaders asking them to have their write-ups completed by the sixth of the month prior to the Event.

[2] A reminder cover letter is sent on the first of the month to the leaders that have not yet submitted their write-ups.

Milestones for Goal:

[3] As the Event write-ups are received, they are reviewed for accuracy, and if necessary, forward them to the SMHC Newsletter email.

Note: Write-ups are supposed to be emailed to the SMHC Outlook email and the Communications Director is supposed to be copied. Sometimes the write-ups are in other forms. Sometimes they are not sent to the location requested.


Goal:

Create folders in the SMHC Outlook email for the upcoming month.

When?

Monthly

Milestones for Goal:

[4] Before the 6th of the month prior to publication, create sub-folders for “upcoming”, “for the record” and “other” in the Outlook newsletter email. An email is sent to the Newsletter Editor to let them know the status of the write-ups, articles and reports.


Goal:

Proofread SMHC Newsletter then email it to the hike and event leaders for their review.

When?

Monthly

Milestones for Goal:

[5] Once the completed draft newsletter is received from the Editor, send it to the Event leaders to review for corrections or changes.

[6] After all corrections/changes are completed and the final newsletter is received, forward it to:

a. The Membership Secretary, who will email notice to all Club members; send a copy to our printer for hard copies; and mail hard copies to a select list of members who cannot be emailed.

b. The Website Manager, who will post all Events on the website (under Hike With Us).

c. The ATMC Newsletter Editor.
